Automated Email Classification and Management System

Environment and Climate Change Canada has developed a Correspondence Monitoring Tool to automatically manage incoming emails to general delivery mailboxes. This AI system reads incoming emails, categorizes them based on content, identifies unwanted messages like spam and phishing attempts, and provides dashboard reporting to mailbox administrators. The system is currently in development as a proof of concept to explore ways to reduce manual email management workload while ensuring important business communications are properly handled.

The tool processes emails by applying automated classification and categorization logic to tag messages with relevant information and determine their business value. Undesirable emails are archived and reported, while legitimate business correspondence is preserved for review. This helps mailbox owners maintain visibility over the volume and types of communications received over time.

This system processes personal information from email content and sender information, and is primarily used by Government of Canada employees managing general delivery mailboxes. Users have rights to access, contest, and understand how the system makes categorization decisions about their emails.
